Job description

What will you be doing?

  • Track, monitor and report on project finances to key stakeholders and ensure resources are used cost-effectively.
  • Ensure contractual needs are met throughout production.
  • Working with various teams and departments to ensure content is produced efficiently and delivered within budget, following established policies and procedures, meeting publishing deadlines and satisfying creative expectations.
  • Collaborate with the Director of Production Operations to align production processes with overall business objectives, including legal and finance functions.
  • Act as the central liaison for programming, development, post-production, talent management, finance, marketing, sales and external vendors to ensure seamless execution of content.
  • Provide direction on the video production process and ensure business requirements are met on time across all departments.
  • Collaborate with the creative team to estimate shoot costs for various projects, ranging from editorial content to cultural moment/tentpole events, including budgeting for sponsored editorial initiatives.
  • Manage and troubleshoot production issues as they arise including insurance, risk, permitting, rights and release issues and compliance.
  • Maintain the departmental website, which serves as a central resource and onboarding tool for new hires.
  • Review and approve payroll, invoices, T&E and contract requests, submit expense reports, credit card reconciliations, and invoices. Working with legal and creative teams to draft Video Production Agreements.
  • Source and negotiate with vendors and personnel as needed, while developing and maintaining strong relationships with key production vendors to ensure cost-effective solutions.
  • Manage, track and report on all aspects of production from development to delivery.
  • Managing the central Editorial Contract tracker, including its folder structure and Central Templates folder for all the producers with shared database/archive docs/etc.
  • Oversee a strong rolodex of freelance crews both domestically and internationally.
  • Provide support and direction for coordinating crew, equipment, travel logistics (domestic and internationally), on-site production needs, budgets, permits, contracts, releases, insurance, post-production, scheduling and various other production requirements.

Who you are:

  • Extensive experience in Production Management including familiarity with budgeting, scouting, obtaining releases, purchase orders, call sheets, booking freelance production crews and equipment, coordinating travel, permitting, scheduling, handling insurance requirements etc.
  • Ability to effectively lead a team and implement workflow and process.
  • Familiarity with contracting, negotiating, scheduling and managing vendors and crews.
  • Experience with permitting, international travel and production requirements.
  • Effective time management and organisational skills in a fast-paced environment.
  • Detailed, concise and effective communication and record-keeping.
  • Skilled in compliance with contractual obligations, permitting, labour laws, international visa & carnet requirements, safety, and insurance needs.
  • Computer savvy with skills in G-Suite and various budgeting, cost reporting, financial, and project management software.
  • Familiarity with Camera Equipment, Lighting, Audio, and Post Production Equipment and needs.
  • Strong understanding of Condé Nast brands, programming and creative positioning.
